Gaming Party Bus Policies
REFUND/CANCELLATION POLICY: This policy becomes effective 24 hours after payment is received for any party or event. Refunds are permissible up to 14 days prior to the originally scheduled party/event date, with a deduction of a $75 service/account maintenance/lost opportunity fee. Given that each booking is meticulously arranged around other reservations for a given date, and we can only accommodate one booking per time slot, finding a suitable replacement within 14 days of the event is highly challenging and results in substantial income loss. Hence, we do not offer refunds for parties/events canceled within 14 days of the scheduled event to offset the financial impact on our business. We will make every effort to reschedule your party up to 14 days in advance to avoid cancellations, but for the same reasons mentioned earlier, we are unable to authorize rescheduling within 14 days. By submitting a booking or making a payment, you confirm that you have reviewed and agreed to our refund policy.
PRIVACY POLICY: Gaming Bus is dedicated to safeguarding your privacy. We utilize the information gathered on our website to streamline the booking process with Gaming Bus and to enrich your overall interaction. Rest assured, we do not engage in the sale, trade, or rental of your personal information to third parties.
INCLEMENT WEATHER POLICY:
Gaming Bus is purposefully designed to cater to various weather conditions. Our theater is equipped with insulation and climate control, offering heating during the winter and air conditioning during the summer. However, there may be instances when Mother Nature doesn't cooperate with your scheduled event. In the case of severe weather conditions such as lightning, exceptionally high winds, flooding, or extreme cold, we maintain the right to reschedule your service to ensure the safety of you, your guests, our staff, and our equipment.
The safety of our operations is significantly influenced by road conditions. As long as it is safe to travel, we will make every effort to reach your location. The determination of travel safety is solely at the discretion of Gaming Bus or an appointed representative. For our service to proceed smoothly, roads and driveways must be clear of snow and ice, with plowed roads allowing us to park while still permitting the safe passage of traffic. In cases of substantial snowfall, widening the end of the driveway may be necessary to accommodate our theater's access. Your safety and enjoyment are our top priorities, and we appreciate your understanding in such situations.
ADULT SUPERVISION FOR CHILDREN:
At Gaming Bus, the presence of a parent or a responsible adult on board the bus or within a reasonable distance (inside the house) is required at all times. For children under the age of 7, it is mandatory for a parent or guardian to be present to provide continuous assistance. Our parties are thoughtfully tailored and recommended for guests aged 7 and older. It's essential to keep in mind that our Game Coaches are there to facilitate the smooth running of the party and to provide any necessary assistance with games and equipment.
We firmly believe that you, as the host, are best equipped to understand the abilities and limitations of your guests. Your ability to monitor what they can or cannot do is superior to our own. We exercise discretion in deciding when an adult presence is needed on the party day to ensure the safety and enjoyment of all participants. Your collaboration in adhering to these guidelines is highly valued.
ALCOHOL AND SUBSTANCE POLICY:
Gaming Bus events or parties are strictly alcohol-free. We retain the right to decline, cancel, or shorten any party or booking where alcohol is being served. The use of drugs, whether illegal or legal substances used in an unlawful manner, is strictly prohibited in the vicinity of Gaming Bus equipment. The usage of any such substances will not be tolerated, and any observed use will lead to the immediate termination of the party. Your cooperation in adhering to these guidelines is greatly appreciated.
DAMAGE AND INJURY LIABILITY:
Gaming Bus and its staff will not assume responsibility for any property damage that may occur due to a client's request to position the theater in a specific location, which includes both surface and subsurface property or equipment damage. Furthermore, Gaming Bus retains the right to charge the client's credit card for any damages inflicted upon the bus or equipment as a result of negligent or intentional damage caused by the client's guests.
Gaming Bus and its employees do not bear any liability for injuries sustained on the client's property or at the designated location. All responsibility for damages or injuries rests solely with the client and/or the host.
FOOD AND BEVERAGE POLICY:
Please be aware that Gaming Bus does not permit any food or drinks inside the Gaming Bus. We kindly request that your guests enjoy their snacks and beverages outside the bus before entering. Bottled water, however, is an exception and is allowed.
PARKING GUIDELINES:
Gaming Bus: Upon our arrival, we will make every effort to park the bus in the flattest and most level area available, or in a logical location that suits your party's needs. At times, this may involve parking on your neighborhood street, so it's a good idea to inform your neighbors (in case they have any objections) or let us know if you have a preferred parking spot. There may be instances where we need to block a driveway. However, please rest assured that our Game Coach will always prioritize safety and will not park in any location that poses a risk to individuals, property, or equipment.
It's important to note that our bus is quite long, and we require a minimum of 30 feet of space for parking. For locations where we are required to back in due to parking regulations or if you are situated on a major roadway where on-street parking is deemed unsafe in our professional opinion, Gaming Bus and its employees will not be held responsible for any resulting damage.
GAMING CONTENT PREFERENCES:
Gaming Bus is committed to providing an age-appropriate and enjoyable gaming experience. We do not play any "M" rated or higher-rated games within the Gaming Bus unless the client has specifically requested it before the party/event or has provided adult approval during the event. If you desire to have an "M" rated game or a higher-rated game at your party/event, kindly send an email to infogamingbus@gmail.com indicating your game preference, or promptly inform the Game Coach upon their arrival. It's also recommended that all clients email Gaming Bus with their game requests in advance for a smoother gaming experience.
